How We Work With Our Wedding Clients: A Step-by-Step Guide

When I was planning my own wedding, I had so many questions about working with a floral designer. What if I change my mind about color palette? (I did) What if I add more bridesmaids? (I didn’t.) How will we communicate, will we do a venue visit together, how can I visualize the designs? etc. etc.

From experience I know that planning your wedding flowers can feel overwhelming. So, I’ve created a structured, full-service floral design process to guide you from vision to reality.

As a San Francisco Bay Area wedding florist, I work closely with both couples and planners to create cohesive, elevated floral experiences that feel intentional, original, and completely personalized. Whether you’re working with a planner or designing the day yourself, my process ensures a seamless, collaborative experience from start to finish.

1. Congratulations!

First things first — congrats! Your wedding will be beautiful and completely unique, and I’m here to guide you in a fun, organized, and approachable way. From day one, you can feel confident sharing your ideas and inspirations. If you need inspiration, check out our gallery of work.

I’ll connect with you and your wedding planner early on so we can align on your priorities, aesthetic direction, and overall event vision. This partnership ensures that every floral detail complements your venue, layout, and design story perfectly.

2. Initial Consultation

We begin by getting to know you, your style, and your vision for your wedding flowers. Through a phone or video call, we’ll discuss your design preferences, floral goals, and the overall feeling you want for your day. We’ll also review our approach to floral design.

We’ll help refine and elevate your ideas, curate a design that feels uniquely yours, and guide you through every step of the process — whether you prefer a more hands-on or relaxed approach.

Timing tip: Most couples start this conversation 9–12 months before their wedding for a smooth planning timeline.

3. Floral Concept Development

After our consultation, I’ll create a custom floral design proposal — your first look at how we can bring your ideas to life. This includes a detailed, transparent price estimate that we can use as a starting point, plus an abbreviated vision board with concepts for color palettes, floral ingredients, and arrangements. This design deck is something we’ll continue refining and expanding throughout the planning process.

With your planner, we’ll collaborate to ensure the floral elements harmonize with every other design decision — from rentals and linens to paper suite and lighting.

4. It’s Official

Once you approve the initial proposal, we’ll finalize your booking with a signed contract and deposit. With that, your date is officially on my calendar, and the floral magic begins. We limit the number of events we take on each year in order to create from a place of inspiration and provide each client with a tailored, luxury experience — so this means your wedding is the only wedding we have on your date. This allows us to give you our full attention and a high-touch, seamless service.

We’ll handle all the details, so your only job is to sit back, relax, and enjoy the journey. You’ll receive a welcome document with key dates and deliverables, access to shared documents, and an invitation to our collaborative online design document.

5. Sourcing & Planning

Next, I dive into the details on our end. I’ll curate a comprehensive design deck featuring digital renderings, product recommendations, and sourcing plans. I’ll hand-select premium, locally sourced flowers to bring your vision to life.

Sustainability is always top of mind, so we prioritize sourcing from small local flower farms and grower collectives to ensure the freshest, most unique seasonal blooms. We also take advantage of the San Francisco Flower Market (one of the largest wholesale flower markets in the U.S.) for additional variety. Sometimes we’ll even forage for special seasonal ingredients to enhance our designs when the occasion calls for it.

Flexibility is key, and we’ll adapt as your ideas evolve. If a mockup or site visit is needed, I’ll coordinate directly with your planner to handle logistics. Changes to your floral order can be made up until 30 days out. Any changes will be confirmed via email for accuracy, and we’ll check in with you throughout the process to review all the details.

6. Design Consultation & Logistics

About 2–3 months before your wedding, we’ll meet virtually or in person to refine every detail — color palette, flower ingredients, ribbons, vessels, and more. This is where your design truly takes shape.

Roughly 30 days out, I’ll connect with you or your planner to confirm the final order and payment. I’ll also connect with your planner directly to confirm final logistics — including timelines, delivery details, and vendor contacts. This ensures every moving piece is aligned for a seamless day-of experience.

7. Delivery & Installation

On the day of your wedding, my team and I arrive on-site to install your custom wedding florals with precision and care. We work hand-in-hand with your planner and vendor team to ensure every design element is perfectly placed and timed.

Because I only take on a limited number of weddings per season, you can expect my full focus on your day. From setup to final touches, we ensure your Bay Area wedding flowers look exactly as envisioned — effortlessly stunning and unforgettable.

8. Post-Event Breakdown

After your event, we handle the full floral breakdown and cleanup, coordinating with your planner and venue team so you don’t have to worry about a thing. Your venue space is left spotless, and you’re free to fully enjoy the post-wedding glow.
