How I Work With My Wedding Clients: A Step-by-Step Guide

Planning a wedding is exciting… and overwhelming.
Especially when it comes to flowers.
When I started my floral design business, I set out to create a seamless, transparent, and collaborative process that makes planning enjoyable and approachable for every couple and planner.
Here’s exactly how we’ll work together.
STEP 1. Inquiry & Consultation
First — Hi! Congrats!
Most clients reach me via their planners or my website.
In an introductory phone or video consultation, we’ll discuss:
Your wedding style, palette, floral preferences, and inspiration
Priority moments that matter most to you
Budget range, so we can be realistic while still creating wow moments
My goal here is to really listen and understand you so that every choice after this feels intentional.
Timing tip: Most couples start this conversation 9–12 months before their wedding.
STEP 2. Proposal & Vision
After our consultation, I’ll create a custom floral design proposal that includes:
Preliminary floral ideas
A conceptual vision board (abbreviated)
Transparent pricing
Everything is bespoke. Your floral design should reflect your story and style, not a template.
We’ll continue refining and expanding the plan as your ideas evolve.
STEP 3. Booking
Once you approve the proposal, we finalize your contract and deposit to secure your date. You’ll receive:
A welcome document with key dates and deliverables
Access to our collaborative online design document
From this point forward, your floral vision becomes a true partnership.
Note: We intentionally limit the number of weddings we book each year to ensure every couple receives a fully tailored, luxury experience and our complete focus on your day.
STEP 4. Design Refinement
Next, the initial vision is fine-tuned in a comprehensive design deck in collaboration with you and your planner, including:
Flower selections and textures (premium, locally sourced)
Color palette and overall aesthetic
Digital renderings of key floral moments
Hand-selected vessels, candles, and table objects
Sustainability plans (sourcing, materials, repurposing)
I’ll also coordinate with your planner and vendors to ensure the flowers integrate seamlessly with every other design element.
STEP 5. Sourcing
I prioritize fresh, seasonal flowers from local farms, markets, and occasional foraged finds. I lean into unique, one-of-a-kind vessels and table objects (thrifted, handmade, or repurposed) that bring personality to your designs.
Flexibility is key here, and we’ll adapt as ideas evolve.
STEP 6. Finalizing Details
2–3 months before your wedding, we’ll confirm design details and may schedule a mockup or site visit.
About 4 weeks out, we finalize logistics, including:
Confirming floral order, quantities, and payment (due 30 days out)
Mapping out installations and layouts
Reviewing day-of timelines and delivery setup
This ensures a seamless day-of experience and that nothing falls through the cracks!
STEP 7. Delivery & Installation
On your wedding day, we bring the vision to life!
From ceremony arrangements to centerpieces, my team handles every little detail. Your focus is on celebrating, while our focus is on creating intentional, unforgettable floral moments. After the event, we manage breakdown and cleanup, leaving your venue spotless.
STEP 8. Post-Wedding Follow-up
Beyond logistics, I love staying connected with clients. We’ll share photos, and I’ll check in personally to hear your thoughts and feedback.
